Overview We are seeking a proactive and detail-oriented Office Administrator to join our dynamic team. In this vital role, you will be the backbone of our daily operations, ensuring that the office runs smoothly and efficiently. Your energetic approach and organizational skills will support various administrative functions, from managing correspondence to maintaining records, all while delivering exceptional customer service. Responsibilities * Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing excellent customer support with professional phone etiquette. * Perform data entry tasks accurately using Microsoft Office and Google Workspace tools, ensuring all records are up-to-date and well-organized. * Handle clerical duties such as filing, photocopying, proofreading documents, and maintaining office supplies inventory. * Utilize QuickBooks and other bookkeeping software to assist with basic financial recordkeeping and invoicing processes. * Coordinate appointments, schedule meetings, and manage calendars to optimize office efficiency. * Support medical or dental office functions by managing patient or client information with confidentiality and precision. * Assist with administrative projects, including preparing reports, verifying data accuracy, and supporting customer service efforts to enhance client satisfaction. Qualifications * Proven experience in an office environment with strong clerical skills and familiarity with office equipment. * Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets, Calendar), and basic computer skills. * Experience using QuickBooks or similar bookkeeping software is preferred. * Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting. * Strong communication skills with professional phone etiquette and customer service experience. * Knowledge of data entry procedures, filing systems, and proofreading techniques to ensure accuracy in all documentation. * Previous experience in medical or dental offices is a plus, especially familiarity with front desk responsibilities like patient scheduling and medical record management.
