Job Title: Guest Experience Representative Location: The Crossing at Ghost River Hours: 30-40 hours per week, including evenings and weekends. Position Summary: The Guest Experience Representative is a critical member of the team, responsible for delivering exceptional guest experiences through meticulous event planning and flawless execution. From creating tailored event proposals to overseeing the logistics of group events, this role is focused on providing seamless and memorable experiences for our corporate clients, retreat groups, wedding parties, and special event guests. You will be deeply involved in the planning, coordination, and execution of group stays, ensuring every detail is perfectly aligned with guest expectations. Key Responsibilities: * Event Proposal Creation: Work closely with clients to understand their needs and preferences, creating customized event proposals that cover all aspects of the event, including accommodations, catering, activities, and any special requests. * Event Planning \& Coordination: Lead the end-to-end planning and coordination of group events and stays, including retreats, weddings, corporate functions, and special celebrations. * Liaison with Clients \& Organizers: Serve as the main point of contact for event organizers, ensuring that their vision is translated into a well-organized and executed event plan. * Logistical Planning: Handle all logistical details of the event, from managing schedules and coordinating vendors to overseeing on-site operations. * Cross-Department Collaboration: Work closely with internal departments (catering, accommodations, recreation, AV, housekeeping) to ensure every detail of the event is executed seamlessly and to guest specifications. * On-Site Event Execution: Supervise and manage the event on the day(s) of execution, ensuring all timelines are met, guests' needs are addressed, and all aspects of the event run smoothly. * Client Communication: Maintain regular communication with clients throughout the event planning process to ensure clarity, provide updates, and address any concerns promptly. * Guest Experience Management: Ensure that each guest’s stay is tailored to their needs, proactively resolving any issues and anticipating guest requests to maintain a high level of satisfaction. * Event Record Management: Maintain up-to-date records of event plans, guest preferences, and special requests using property management systems (experience with WebRezPro is a plus). Qualifications \& Experience: * Event Planning Experience: At least 2 years of experience in event planning or group event coordination, particularly with retreats, weddings, corporate events, or large group stays. * Strong Proposal Writing Skills: Proven ability to create detailed, customized event proposals that clearly outline all logistical details, from accommodations to catering and beyond. * Exceptional Communication Skills: Excellent written and verbal communication abilities for interacting with clients, vendors, and internal teams. * Guest-Facing Experience: Comfort and professionalism in dealing directly with guests, addressing their needs and ensuring they have an outstanding experience. * Event Software Knowledge: Experience with event planning software or property management systems (WebRezPro or similar) is highly desirable. * Attention to Detail: Strong organizational skills with an ability to manage multiple events and deadlines simultaneously, ensuring nothing is overlooked. * Proficiency in Office Tools: Competence in Microsoft Excel, Outlook, and other office software. Preferred Qualifications: * Experience with corporate retreats, large-scale weddings, or conferences. * Background in hospitality management, event coordination, or a related field.
