Overview We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of daily operations, ensuring the smooth and efficient functioning of our office environment. Responsibilities * Manage front desk duties, including greeting visitors, answering multi-line phone systems, and providing excellent customer service. * Handle all aspects of data entry with accuracy using tools like QuickBooks, Microsoft Office, and Google Workspace. * Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents and records. * Support bookkeeping tasks such as invoicing, expense tracking, and financial record keeping. * Assist with appointment scheduling, calendar management, and coordinating meetings for staff and clients. * Perform clerical duties including proofreading documents, preparing correspondence, and managing office supplies inventory. * Provide general administrative support to various departments as needed to facilitate efficient office operations. Qualifications * Proven experience in an administrative or office support role with strong organizational skills. * Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. * Experience with QuickBooks or similar bookkeeping software is highly desirable. * Excellent computer skills with a keen eye for detail in data entry and proofreading tasks. * Prior experience working in a medical or dental office environment is a plus, especially familiarity with front desk procedures and patient/customer support. * Strong communication skills with professional phone etiquette and customer service orientation. * Ability to multitask efficiently while maintaining accuracy in a fast-paced setting. * Knowledge of multi-line phone systems, filing procedures, and basic clerical tasks such as typing and record management.
