Executive and Personal Operations Coordinator South Edmonton, Alberta | $35 per hour | Six-month term employee 32 hours per week | Monday, Tuesday, Thursday and Friday | Wednesdays off The role We are looking for an organized, resourceful coordinator to take personal, property, family and administrative responsibilities off the Founder’s plate so he can focus on growing the business. You will turn objectives into practical next steps, research options, coordinate people and services, and follow work through to completion. The work is a mix of personal and business projects. There is an existing backlog of business, home, property and family projects, such as a garage clean-out, home repairs, the sale of two properties, repairs at a property in British Columbia, helping a family member move into assisted living, and seasonal vehicle maintenance. There will also be business work such as marketing administration, customer and supplier follow-up, updating external websites, maintaining financial information, and organizing payments. The role suits someone who enjoys variety, practical problem-solving and working independently. Family-related work involves research, administration and coordination; this is not a caregiving position. This is a coordination role. There may be some light hands-on work, like sorting and organizing, but contractors and movers you oversee will handle heavy lifting, cleaning, and repairs. This is not a cold outreach sales position. Key responsibilities * Turn loosely defined objectives into plans, track deadlines and commitments, and follow up until work is complete. * Research options, compare quotes and prepare clear recommendations for decisions. * Contact contractors, suppliers and service providers; arrange and oversee approved work, appointments and service calls. * Coordinate household and property maintenance, vehicle servicing and other personal logistics, including remote coordination of work at properties outside Edmonton. * Support property sales by finding and working with realtors, gathering information and tracking each step to closing. * Research and coordinate family-related arrangements, including assisted-living, housing and support services, and help family members gather documents for tax preparation and government programs. * Maintain a practical project and task-management system, with organized records, budgets and spreadsheets. * Communicate with accountants, bookkeepers, realtors, government agencies and other professionals. * Organize bills and invoices for the Founder to review and pay; assist with payroll, financial records and routine business administration. * Gather information, prepare documents and track submissions for government funding programs, SR&ED and tax preparation. * Source parts, materials and services for engineering and product-development projects; place and track approved orders. * Coordinate marketing administration, such as scheduling activities, preparing materials and tracking results. * Follow up with customers and prospects, track inquiries and feedback, and keep contact records current. * Manage the Founder’s schedule and coordinate meetings and appointments. Independence and decision-making Own the process. Bring forward the important decisions. Once a decision is made, own the execution. You will independently research, make inquiries, organize alternatives and follow up. The Founder will retain significant financial, business, technical, property, and family decisions. For example, you might identify contractors, compare repair quotes and recommend an option. Once the contractor and scope are approved, you would arrange the work and manage scheduling and follow-through, escalating significant changes or exceptions. What you bring * Demonstrated ability to manage several projects, determine next steps and complete work without repeated reminders. * Sound judgment about when to act independently, ask questions or seek approval. * Clear written and verbal communication, discretion and confidence dealing with a wide range of people. * Tact, patience and respect for other people’s preferences, especially when working with family members, handling confidential information or supporting sensitive transitions, while still keeping arrangements moving forward. * Comfort with numbers, invoices, budgets, spreadsheets, online systems and common office technology. * Someone comfortable with, or willing to learn, using AI tools is an asset. * Resourcefulness, dependable follow-through and willingness to learn unfamiliar subjects. * A vehicle available for work-related travel and a mobile phone. Experience in executive support, office management, operations, project coordination, property management or a small business would be valuable. Business, engineering or related education may be helpful, but demonstrated capability and judgment matter more than a particular credential. Schedule and workplace Pay is $35 per hour for 32 hours per week over four full days: Monday, Tuesday, Thursday and Friday. Wednesday is off. Work is primarily in an office at 6137-80 Street NW in south Edmonton, alongside two other workers. Start and stop times can be negotiated. Occasional project coordination takes place at residential locations throughout Edmonton, with visits to suppliers or service providers as needed. Work on properties in British Columbia is primarily coordinated remotely by phone and email. Occasional remote work may be requested and approved when the work allows. A mileage allowance is provided for work-related driving, along with a phone allowance. This is a six-month term employee position. A planned backlog of projects extends into 2027, and an extension or ongoing role may be considered based on workload, business circumstances, and mutual fit. Continued employment beyond the term is not guaranteed. What success looks like The goal is to free the Founder’s time and attention for the business, engineering, marketing and consulting work. Projects move forward, the backlog gets smaller, and decisions arrive with organized information and practical recommendations. Completed work leaves clear records, contacts and any maintenance schedules. Confidentiality This role involves access to confidential business, financial, property and family information. The successful candidate will be required to sign a confidentiality agreement and may be asked to consent to a background check.
