Harmony Health Physiotherapy is a new Pediatric Physiotherapy clinic opening in Mid-November 2026 in Windermere, Edmonton. Our clinic will provide comprehensive patient care and specializes in Pediatric Physiotherapy Services. We will be supporting patients with musculoskeletal injuries, hand therapy, vestibular conditions, women’s health concerns, motor vehicle accident (MVA) injuries, workplace injuries, and other rehabilitation needs as well. We are looking for an experienced, organized, and dependable Administrative Assistant/PTA to join our team on a full-time basis. Job Summary The Administrative Assistant/PTA plays an important role in the day-to-day operation of our clinic and is often the first point of contact for our patients. The successful candidate will have previous experience working in a physiotherapy, chiropractic, or similar rehabilitation clinic and must be comfortable using Jane EMR/Jane App. This position involves managing patient scheduling, billing, phone calls, documentation, MVA and WCB patients, extended health benefits, and general front-desk operations in a busy clinical environment. Responsibilities * Greet patients and visitors professionally and provide excellent customer service * Answer incoming phone calls and respond to patient inquiries * Book, reschedule, and cancel appointments using Jane EMR * Manage practitioner schedules and help maintain an efficient clinic schedule * Manage Motor Vehicle Accident (MVA) patient bookings and administrative requirements * Manage WCB patient bookings, treatment frequencies, and related administrative requirements * Process extended health benefit/direct billing and assist patients with insurance-related billing * Collect and process patient payments * Maintain accurate and confidential patient records * Complete data entry, scanning, filing, and general record keeping * Communicate with patients regarding appointments, treatment schedules, outstanding requirements, and other administrative matters * Coordinate with physiotherapists, chiropractors, and other clinic staff * Assist with invoices, billing, and basic bookkeeping-related administrative tasks * Maintain an organized and professional front-desk environment * Perform other administrative duties required for the efficient day-to-day operation of a physiotherapy and chiropractic clinic * Assist patients with therapeutic exercises and rehabilitation activities as instructed by the treating physiotherapist * Set up patients and treatment areas for physiotherapy sessions * Assist with the application and setup of therapeutic modalities as directed by the physiotherapist * Prepare, clean, and organize treatment rooms and clinical areas between patients * Assist with maintaining appropriate inventory of clinical supplies and notify the appropriate team member when supplies need replenishment * Maintain patient privacy, confidentiality, and professional boundaries at all times * Follow clinic policies, procedures, safety standards, and infection prevention and control protocols Qualifications Required: * Minimum 1 year of experience using Jane EMR/Jane App * Minimum 1 year of administrative experience/ PTA in a physiotherapy, chiropractic, rehabilitation, or similar healthcare clinic * Previous experience managing and scheduling MVA and WCB patients * Previous experience with extended health insurance/direct billing * Strong understanding of patient scheduling and healthcare clinic administrative procedures * Excellent verbal and written communication skills * Strong organizational skills and attention to detail * Professional phone etiquette and customer-service skills * Ability to multitask effectively in a busy clinic environment * Ability to maintain patient confidentiality and handle sensitive information professionally * Reliable, punctual, and able to work independently Preferred: * Experience with Microsoft Office and Google Workspace * Experience using Jane EMR/Jane App * Experience with clinic billing, invoicing, and basic bookkeeping * Experience working in a multidisciplinary healthcare environment Schedule & Availability This is a full-time position primarily requiring weekday evening availability. The successful candidate must also be available on-call on weekends when required to support clinic operations.
